The one-paragraph definition
An immigration case management system is software that holds every immigration matter your firm handles, from the first consultation to the approval notice, in one place: the client's details and documents, the forms being filed, the government deadlines and receipt numbers, the communication history, and the billing. Its job is to make sure nothing is missed and nothing is typed twice.
How it differs from a general legal CRM
A general practice-management tool tracks matters, time and invoices for any area of law. Immigration work has three demands those tools rarely meet:
- Forms are the work. An I-130, I-485, N-400 or H-1B petition is dozens of pages that repeat the same client data. Immigration software collects that data once in an intake questionnaire and fills every form from it.
- Deadlines come from the government, not the court calendar. RFE response windows, priority dates, biometrics appointments, EAD expirations and status-check dates need to be tracked per case type and surfaced before they are urgent.
- Clients need to be part of the process. They upload passports, pay stubs and photographs, sign documents and check status, often in a language other than English. A client portal with multilingual intake is not a luxury.
The distinction between a "CRM" and "case management" also matters. A CRM handles the front of the funnel: enquiries, consultations, conversion. Case management handles the matter after the retainer is signed. Firms need both, and the useful platforms combine them so intake answers become the case file.
Features that matter for USCIS work
Form automation
Fill USCIS, DOL and DS forms from a single client record. Check which forms and editions are supported and how quickly new editions arrive.
Deadline and priority-date tracking
Automatic deadlines by case type, visa bulletin monitoring, and reminders that reach the right paralegal.
Client portal and intake
Multilingual questionnaires, document upload with checklists, e-signature, and status visibility that cuts "any update?" emails.
Document management
Versioned storage per matter, templates for retainer agreements and cover letters, and packet assembly for filing.
Billing and trust accounting
Flat fees, payment plans, retainer and IOLTA handling, invoicing and online payment.
Security and audit
Role-based access, encryption at rest, and a full audit trail. Client immigration files are among the most sensitive data a firm holds.
How to choose one for a small firm
- List your case mixFamily, employment, humanitarian, naturalisation. Make sure the forms you file most are supported and kept current.
- Count the users and the price per seatEstablished vendors charge roughly $79 to $150 per user per month. Ask what is an add-on: forms, e-signature, storage, SMS.
- Test the intake to form flowRun one real case type through the demo from questionnaire to filled form. This is where time is saved or lost.
- Check the client portal in your clients' languagesIf your clients speak Spanish, Portuguese or Arabic, the questionnaire should too.
- Ask for the migration planA test import of your existing clients and matters before you sign is a fair request.
- Read the security pageEncryption, access control, backups, and where the data is hosted.
Where Agrin CRM fits
We built Agrin CRM for immigration and law firms that found the large platforms expensive per seat and slow to customise. It combines intake, case workflows for common visa and naturalisation types, deadline tracking, a client portal, document management and trust accounting, with onboarding and data migration done by our team. If you are comparing options, book a demo and bring a real case to run through it.
Frequently asked questions
What is the difference between an immigration CRM and case management software?
A CRM manages relationships and leads: enquiries, consultations, follow-ups, conversion. Case management runs the matter after the client signs: forms, deadlines, documents, government correspondence, billing. Firms need both, and the best tools combine them so intake data flows straight into the case.
Do small immigration firms need specialised software?
A solo practitioner with a handful of matters can survive on a calendar and folders. Past roughly 30 active cases, missed deadlines and duplicated data entry become a real risk. Specialised software pays for itself when it prevents one missed RFE response.
How much does immigration case management software cost?
Established vendors charge roughly $79 to $150 per user per month, with add-ons for forms or e-signature. Smaller vendors and newer platforms price lower or per firm. Ask what is included, especially form libraries and storage.
Can I migrate from spreadsheets or another system?
Yes. Most vendors, including us, import clients, matters and documents during onboarding. Ask for a migration plan and a test import before you commit.
